Privacy: the KraalSync Planner

This explains what happens to the information you give in the KraalSync Planner at livestock.farmcamsa.co.za, as required by the Protection of Personal Information Act 4 of 2013 (POPIA).

Who we are

What we collect

• Contact details: your name, cellphone number and (if you give it) email address.
• Farm details: farm name, province and nearest town, which animals you farm and roughly how many, how you farm, the devices and equipment you use, your current record system, and anything you write in the notes.
• Your farm logo, if you choose to upload one.
• Technical details: your internet (IP) address, used only to stop misuse such as automated mass submissions. It is kept for at most one day, plus short-lived server logs.

While you fill in the planner, your answers are saved only on your own device so you don't lose them. Nothing reaches us until you press “Show me my summary”, and your plan only goes to FarmCamSA for review once you press “Yes, send it”.

Why we use it

• To understand what your farm needs and prepare your KraalSync plan and quote.
• To contact you about your plan.
• To improve KraalSync, using what farmers tell us. When we look at feedback across many farms, we look at totals, not at you personally.

We use your information because you asked us to prepare a plan for you (steps before an agreement) and with your consent. We do not sell personal information and do not use it for advertising.

Who else sees it

• Our own server in South Africa stores everything.
• Cloudflare carries the website traffic and protects the site against attacks.
• Telegram: when you send a plan, FarmCamSA receives a short alert with your reference, farm name, name, cellphone number and animal numbers.

Cloudflare and Telegram may process this information outside South Africa. We only use providers bound by data-protection rules similar to POPIA (section 72).

How long we keep it

• A plan you never confirm with “Yes, send it” is deleted automatically after 90 days.
• If we do not go ahead with your plan, or it is archived, it is deleted automatically 12 months after our last update to it.
• If you become a KraalSync client, your plan becomes part of your client records.
• Nightly backups are kept for 14 days, then deleted.

How we protect it

The connection is encrypted (https). Only FarmCamSA staff can open the plans, and only from our own network, after signing in. Your status link contains a secret code that only you receive; we store only a scrambled (hashed) version of it.

Cookies and your device

The planner uses no advertising or tracking cookies. It stores your answers and language choice in your browser so you can continue later. You can clear them at any time by clearing your browser's site data.

Your rights

You may ask what information we hold about you, and ask us to correct it, delete it or stop using it. Email [email protected] with your reference number (KS-…), and we will respond within a reasonable time. If you are unhappy with how we handle your information, you may complain to the Information Regulator: inforegulator.org.za, [email protected].
